I.  Purpose

Provide a policy for the development and maintenance of staff job descriptions.

II.  Objectives

A. Provide an understanding as to the work performed, the organizational setting in which the position
exists, and the position's supervisory relationships.
B. Establish content and style guidelines for preparing job descriptions.
C. Comply with State System of Higher Education program standards for maintaining current and
  accurate job descriptions.
D. Utilize for classification, appraisal and recruitment.

III.  Policy

A job description is an official written statement of the duties, responsibilities and supervisory relationships of a position.

A.  When to Complete/Revise Descriptions

Job Descriptions are to be completed/revised when:
*A new position is created
*Annually via the Position Accuracy Certification Form
*Major changes in duties and responsibilities are experienced
*Promotion of an incumbent is requested
*Position is vacated
*Classification grievances/appeals are filed
*Requested by the university and/or Human Resources Department

B.  Content Guidelines

Properly completed job descriptions contain:
*Employee, position and university information
*Work schedule with scheduled variations
*Reports to:   Name, Class, and Title
*Description of duties and responsibilities
*How work is assigned and reviewed
*If supervisory, how work is assigned and reviewed
*Organizational chart
*Essential Functions Statement
*Certification with approving signature

C.   Style Guidlines

Job descriptions are properly completed when they:
*Appear on Commonwealth of Pennsylvania form STD 370
*Typed
*Written in active verb form

D.  Updating Job Descriptions

Job descriptions will be updated annually during the period of January - mid March.

When a position has experienced only minor changes in work duties and responsibilities, the Position Accuracy Certification form may be submitted to update the job description.  Major changes in work duties and responsibilities require that a revised job description be submitted.
